Lesson and Practice Data

  • Scheduled lesson dates, times, durations, and attendance records.
  • Lesson plans, assignments, and practice logs.

If you subscribe to a paid plan or process payments through our platform, we collect billing information such as:

3. Student Data Protection

We take the protection of student data very seriously. Music education often involves working with minors, and we have implemented specific safeguards to ensure student information is handled responsibly.

Encryption at Rest: All student personally identifiable information (PII), including names, contact details, and date of birth, is encrypted at rest using industry-standard AES-256 encryption. This means that even in the unlikely event of unauthorized access to our databases, student PII would remain unreadable without the appropriate decryption keys.

Teacher Responsibilities

Teachers who add student information to the Konveyit Teachers platform are responsible for:

  • Obtaining proper consent: Before entering any student's personal information into the platform, teachers must have obtained appropriate consent from the student (if 18 or older) or from the student's parent or legal guardian (if the student is under 18).
  • Accurate information: Ensuring that the student information entered is accurate and up to date.
  • Appropriate use: Using student data only for legitimate educational and teaching purposes within the platform.
  • Communicating privacy practices: Informing students and guardians that their data is being managed through the Konveyit Teachers platform and directing them to this Privacy Policy if they have questions.

Guardian Information

When a teacher adds a minor student, the platform provides fields for guardian or parent contact information. This information is used to:

  • Send lesson reminders and scheduling updates to the responsible adult.
  • Deliver practice assignment notifications and progress reports.
  • Facilitate communication between the teacher and the student's family.

Guardian contact information is subject to the same encryption and security protections as all other personal data on the platform.

Student Data Access

Student data entered by a teacher is accessible only to that specific teacher and to Konveyit platform administrators who require access to provide technical support or ensure platform integrity. We do not share individual student data with other teachers, third-party advertisers, or any other external parties except as described in the Data Sharing section below.

4. Data Sharing

We do not sell your personal data. Konveyit LLC does not sell, rent, or trade your personal information or student data to third parties for marketing, advertising, or any other commercial purpose.

We share your information only with the following categories of service providers, and only to the extent necessary to operate and deliver the Service:

Payment Processing

We use a third-party payment processor to handle subscription billing and payment transactions. Your payment card details are transmitted directly to and stored by our payment processor. We do not store full credit card numbers on our servers. Our payment processor is PCI DSS compliant and maintains robust security standards.

Email Delivery (SendGrid)

We use SendGrid, a Twilio company, to deliver transactional and notification emails. When we send you an email, your email address and the email content are transmitted to SendGrid's servers for delivery. SendGrid processes this data under a data processing agreement with us and is prohibited from using your information for their own purposes.

SMS Delivery (Twilio)

We use Twilio to send SMS notifications such as lesson reminders and practice alerts. When an SMS is sent, the recipient's phone number and message content are transmitted to Twilio for delivery. Twilio processes this data under a data processing agreement with us and is prohibited from using your information for their own purposes.

Hosting Infrastructure

Our platform and your data are hosted on secure cloud infrastructure. Our hosting provider maintains physical and network security, and we have data processing agreements in place that govern how your data is stored and protected.

Legal and Compliance

We may disclose your information if required to do so by law or in response to valid legal process, such as a court order or subpoena. We may also disclose information when we believe in good faith that disclosure is necessary to protect our rights, your safety, or the safety of others, or to investigate fraud or respond to a government request.

  • Encryption at rest: Sensitive data fields, including student PII, guardian contact information, and payment-related records, are encrypted at rest using AES-256 encryption.
  • Encryption in transit: All data transmitted between your device and our servers is encrypted using HTTPS (TLS 1.2 or higher). This applies to all pages and API calls across the platform.

Authentication and Access Control

  • User passwords are securely hashed and salted using industry-standard algorithms. We never store passwords in plain text.
  • Session tokens are securely generated and expire after periods of inactivity.
  • Access to production systems and databases is restricted to authorized personnel only, with multi-factor authentication required.

Regular Backups

Active Accounts

While your account remains active, we retain all data associated with your account, including your profile information, student records, lesson data, uploaded content, and usage data. This ensures continuity of service and allows you to access your historical data at any time.

Account Deletion

When you request deletion of your account, we will:

  • Within 30 days: Remove your profile information, teaching preferences, and personally identifiable data from our active systems.
  • Within 30 days: Delete all student records and associated data that you entered into the platform.
  • Within 30 days: Remove all uploaded content (sheet music, videos, audio files, and documents) from our active storage.
  • Within 90 days: Purge your data from our backup systems.

Please note that some information may be retained for longer periods if required by law, such as billing records that must be kept for tax and accounting purposes. Any data retained for legal compliance will be stored securely and accessed only for the specific legal purpose.

Inactive Accounts

If your account remains inactive (no logins or activity) for a period of 24 months, we may send you a notification reminding you of your account. If no action is taken after an additional 30 days, we reserve the right to delete the account and associated data following the same process described above.

Deletion

You have the right to request deletion of your personal information. You can delete your account through your account settings, or by contacting our support team. Please review the Data Retention section above for details on our deletion process and timelines.

Data Portability

You have the right to receive your personal data in a structured, commonly used, and machine-readable format. Upon request, we will provide an export of your account data, student records, lesson history, and uploaded content in standard formats (such as CSV for structured data and original file formats for uploaded content).

Opt-Out of Communications

You can opt out of non-essential communications at any time by:

  • Clicking the "unsubscribe" link in any marketing or promotional email.
  • Adjusting your notification preferences in your account settings under Notifications.
  • Contacting our support team to update your communication preferences.

Please note that you cannot opt out of essential transactional communications, such as account security alerts, billing confirmations, and critical service notices, while your account is active.

Teachers may enter information about their minor students into the platform as part of managing their teaching practice.

Important: Children under the age of 13 are not permitted to create their own accounts on the Konveyit Teachers platform. Any information about children under 13 that appears on the platform has been entered by their teacher, with the expectation that the teacher has obtained verifiable parental consent before doing so.

Guardian Consent

Teachers who use the Konveyit Teachers platform to manage information about minor students are responsible for:

  • Obtaining verifiable consent from a parent or legal guardian before entering a minor student's personal information into the platform.
  • Informing parents and guardians about how their child's information will be used and stored on the platform.
  • Providing parents and guardians with access to their child's information upon request.
  • Deleting a minor student's information from the platform if a parent or guardian withdraws consent.

Our Commitments Regarding Children's Data

  • We do not knowingly collect personal information directly from children under 13.
  • We do not use children's personal information for marketing or advertising purposes.
  • Children's data is subject to the same encryption and security protections as all other data on the platform.
  • If we become aware that a child's information has been entered without proper consent, we will work with the teacher to resolve the situation and will delete the data if consent cannot be verified.
